Job Description

 Responsibilities typically include: 
  • Acting as a first point of contact for the Principal Officer dealing with correspondence and phone calls; 
  • Managing diaries and organising meetings and appointments, often controlling access to the Principal Officer; 
  • Booking and arranging travel, transport and accommodation; 
  • Organising events and meetings;
  • Reminding the Principal Officer of important tasks and deadlines; 
  • Writes routine reports and correspondence, and assists with the development of project/program materials; 
  • Managing databases and filing systems; 
  • Implementing and maintaining procedures/administrative systems;
  • Collating and filing expenses; 
  • Liaises and communicates with project consultants and field office staff, providing logistical and administrative support, as directed. 
  • Miscellaneous tasks to support the Principal Officer and the Foundation. 


 


Job Requirements

 Key skills for Personal Assistant:  
  • Discretion and trustworthiness: you will often be party of confidential information; 
  • Flexibility and adaptability; 
  • Good oral and written communication skills in Malay and English; 
  • Organisational skills and the ability to multitask; 
  • The ability to be proactive and take the initiative;
  • Tact and diplomacy; 
  •  A knowledge of standard software packages and the ability to learn Foundation-specific software if required; 
  • Must be able to attend to weekend tasks and activities of the Foundation when needed. 
 
Minimum Qualifications: A high school diploma or equivalent AND five years of administrative/secretarial experience. Proficiency with various personal computer software applications.
