Job Description

 
Recruitment
  • End to end process including job posting, shortlisting, interviewing and reference checks. 
  • Update candidates’ assessments and online skills for certain positions. 

Staff Induction 
  • To welcome new staff and conduct ice breaking sessions with the rest of the teams. 
  • Educate staff on company policies and keep employee handbook current. 

Payroll 
  • To prepare monthly payroll, payslips and statistic reports to management team. 
  • Liaise with government bodies on all statutory requirements and monthly payment submissions (eg: EPF, SOCSO, LHDN etc) 

Staff Welfare and Employee Relations 
  • Administer staff benefits. 
  • Verification and vetting of staff claims. 
  • To coordinate and organize staff and company events 
  • Handle staff complains, grievances and disputes and work with respective managers to solve them. 
  • Promote a positive and open work environment where staff feel comfortable speaking up about issues 

Staff Performance 
  • Coordinate the entire performance appraisal process for staff confirmation and annual appraisals 
  • Monitoring overall staff performance and progress 

Training and Development
  • Identifying training and development needs through job analysis, appraisal and regular consultations with managers. 
  • Coordinate training activities, registration and updating of training records. 

Compliance 
  • Ensure strict compliance to company’s policies, procedures and practices. 
  • Good knowledge of Malaysia Labour Law, Employment Act and other statutory requirements. 
  • Keep abreast with changes in local laws and government regulations. 

HR Administration 
  • Organize, maintain and update staff information as needed 
  • Provide HR relevant reports as and when required. 
  • To monitor cost and expenses in budget preparation eg: salary, hiring, staff activities. 
  • Liaising with outsources IT vendor on general IT maintenance. 

Admin 
  • Managing and up keeping of company cleanliness, related vendor management, purchasing pantry items, inventory of office equipment, asset management, maintenance and services. 
  • To monitor company vehicles’ movements and assist in renewing road tax, insurance and other paperwork. 
  • To manage petty cash claims 
  • To make online payments for utility bills, vendor, staff claims, salary and etc. 


Job Requirements

 
  1. At least 2 years of working experience in a generalist role 
  2. Working experience in a start-up agency would be an added advantage. 
  3. Well verse with Malaysia Labour Law, Employment Act, IR practice and other statutory requirements. 
  4. Confidentiality, tact and discretion when dealing with private and confidential information 
  5. An active person with exposure to various employee engagement activities. 
  6. Able to work independently and multi task. 
  7. Excellent interpersonal and communication skills with good command of written and spoken English 
  8. Able to start work immediately would be an added advantage.
