Job Description

 There are two primary responsibilities:
  1. Support the documentation requirements for sales, projects and business development
  2. Manage the office space and facilities e.g. assets, messenger services and record archives

Roles & Responsibilities

Operations Support
  • Prepare client contracts and any other related documentation required for sales, projects or business development
  • Obtain stamp duty for required documents at the stamp duty office
  • Support the HR Manager with administrative tasks for onboarding, culture building and offboarding
  • Support the Principal, Operations with administrative tasks for compliance & legal and any other ad hoc projects
  • Update and administer the Resource Management Tracker to ensure optimal resource utilisation at all times
  • Update and administer the Project Utilisation & Monitoring Dashboard for a clear status view on all projects
  • Manage all platforms used for knowledge management e.g. Dropbox, Drive and ensure documents are uploaded and updated

Facilities & Office Management
  • Establish and maintain an efficient asset management system (including IT)
  • Manage and provide IT support for the office and employees
  • Manage all aspects of the office space e.g. interior design, property, pantry supplies, cleaning, security, etc.
  • Manage the messenger services e.g. mail, courier (local or international) and stamp duty process (if any)
  • Maintain and manage the office record archives (everything except HR) and ensure completeness and traceability e.g. quotations, contracts, bills, etc.
  • Handles the knowledge management technology, processes & governance to ensure completeness, accuracy and efficiency for accessibility
  • Manage the basic website maintenance and schedule for content creation and updates

Job Requirements

Qualifications & Requirements

  • Bachelor’s degree in operations management or business-related field
  • At least 2 years of experience in sales & operations, business & marketing, or similar
  • Have excellent written and verbal English communication skills
  • Have experience with strategic planning and an aptitude for data analysis
  • Possess advanced Excel skills or the equivalent for Google Sheets
  • Ability to research, digest, analyze and present material clearly and concisely
  • Are a highly positive, high energy, resourceful person that can work under tight deadlines and high pressure situations
  • Intellectually curious, a proactive problem-solver, able to execute ideas and be empathetic
  • Believes in a strong organizational culture and being part of community in the workplace
  • Able to navigate cultural differences and can comfortably work with people from different backgrounds
