About The Job

You act in a confidential capacity with high level of integrity to the Head of Group Insurance, providing assistance towards the coordination and organization of the department’s overall administration. In addition, you are required to provide administration support to the sales and marketing team, for example follow-up on payment for new scheme, issue quotation to agents and issue billing to prospects upon successful closure of new scheme.  
Other duties for the role include:
  • Manage and organize meetings and appointments
  • Make travel arrangements for executives
  • Handle confidential documents ensuring they remain secure
  • Deal with correspondence and phone calls
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Prepare Meeting minutes, Board papers, presentations or reports as assigned
  • Coordinate works and departmental activities
  • Organize monthly meeting slides, finance reporting, events, check staff claims and etc. 
  • Improve office systems
  • Assist in ad hoc tasks as when required

Job Requirements

  • Possess a recognized Degree in Executive Secretary/Business Administration with strong credits in English and Mathematics
  • At least five years working experience in confidential secretarial duties 
  • Strong computer literacy including Excel and Power Point
  • Comfortable working with people and has strong organizing and planning skills
  • Strong communication skills in both written and spoken English
  • Strong multitasking skills and time management skills
