Job Description

Front Desk Management
  • Oversee the guest experience and ensure a personal, friendly experience for anyone coming into the office, and maintain complete accessibility in both availability and warmth of character
  • Ensure the front desk is neat, presentable, and equipped with all the necessary supplies such as pens, forms, and paper
  • Answer all incoming questions and incoming calls, redirect phone calls to the appropriate department, and takedown messages
  • Accept all letters and packages, and distribute them to the right departments

Workplace Maintenance
  • Maintain office efficiency by maintaining the appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment
  • Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain, and manage vendors, and coordinate food delivery as needed
  • Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested
  • Provide the general administration supports to the warehouse such as liaising with service providers for warehouse general maintenance and service to the people (e.g., vendor machine)

Admin
  • Provide direct administrative supports as needed, including, and not limited to scheduling appointments, meetings, and events, booking travel, maintaining filing system, mailing and shipping packages, and updating contact database and employee list


Job Requirements

  • Candidate must possess at least Diploma / Bachelor’s Degree in any field
  • At least 3 years of working experience in the related field is required for this position
  • Able to work independently with the integrity and high standards of efficiency
  • Proficient with Google Workspace (G Suite) and Microsoft Office (Word, Excel, PowerPoint, etc.)
  • Excellent written and verbal communication skills
  • Team player, proactive and innovative
