Job Description
DUTIES & RESPONSIBILITIES:
1) Oversee the Human Resource (HR), Finance/ Accounting, Compliance and Admin operations of the Company outlined below:
HR
Recruitment:
- Assist in conducting job offers and process pre-employment and onboarding requirements
- Assist in documenting leave applications for all Endeavor Malaysia team members
Finance/ Accounting:
- Assist in issuing Statements of Account to Board, EEs and Sponsors & third parties
- Review and endorse Expense Reports for processing
- Petty cash management
- Document and process claims for all Endeavor Malaysia team members
Admin and Compliance
Event management:
- Attend to logistical requirements of regular and ad hoc MarComm and ESG events
- Secure venues and suppliers for events. Process the required permits and passes.
- Assist in overseeing production and procurement of materials and collaterals
- Meeting Management: Book venue of organizational meetings. Procure needed materials.
- Take minutes of organizational meetings.
- Records Management & Compliance: Ensure completeness and safekeeping of corporate documents, contracts, permits and licenses
- Work with internal and external parties to secure required corporate permits and certifications
- Assist in processing requests for certificates and documents needed for official use
- Ensure proper documentation of internal processes
External Relations:
- Liaise with Board and Mentor Executive Assistants, EE and Sponsor Finance Managers, when needed
- Liaise with vendors/ suppliers (building & office admin/ venue, F&B, production, print, etc.) and service providers (e.g., legal, finance, technology) and assure the proper and accurate delivery of their services, when needed
General office administration:
- Oversee day-to-day activities related to the upkeep/ maintenance of the office
- Procure office equipment, materials, supplies and online tools/ software & subscriptions
- Coordinate office and equipment repairs and maintenance
Others:
- Assist in other activities to aid the Endeavor Malaysia team (e.g., screening of visitors, scheduling of meetings, flight and hotel bookings for official travel, other related requirements)
- Transport valuable or sensitive information, such as bank cheques or official documents to external parties as advised
2) Carry out other tasks that may be required by the Managing Director and/or Endeavor Malaysia team that may be assigned from time to time which would deem necessary in the fulfilment of the above duties.
