Job Description
Reporting to the Manager of the Global Proposal Team and working alongside the in-region and global sales team, you will be responsible for the following:

  • Managing and creating proposal-related materials used in response to both formal and informal customer proposal requests from corporate, academic and government clients; Implementing, populating, and maintaining an electronic repository of content that can be leveraged for future RFPs and inquiries from customers; Working with external design, print, production and solution teaming partners to ensure the final proposal is high quality, compelling and ultimately maximizes chances of winning Working with the wider sales and support community who will focus on the development of a common RFP response process, implementing a shared technology platform to support process efficiency and repeatability, facilitating best practice sharing and collaboration across the business units, communicating with and training stakeholders in the sales and marketing organizations, and ultimately materially increasing our RFP wins and supporting our brand reputation.

  • This position requires a combination of technical aptitude, technical and/or proposal writing experience, an understanding of Clarivate products/customer industries, excellent writing skills, as well as expert knowledge of Microsoft Word (Adobe InDesign/Illustrator is a benefit). The role is bilingual, requiring fluent proficiency in both English and either a Chinese language, Japanese or Korean as a minimum. The Proposal Coordinator/Writer will report to the manager of the global proposal management team so experience in remote team working is preferable, though local reporting structure and support will be available.


  • This role is preferably based from our Global Business Center in Penang, Malaysia although remote working can be considered. It supports all brands and regions in the Clarivate portfolio and supports both new business and renewal proposals.






Job Requirements

Qualifications:
Required:
  • 4-year college degree or equivalent experience in English/Chinese/Korean/Japanese creative writing, marketing, technical writing, communications or journalism.
  • Three or more years of experience in proposal writing, bid management, technical writing, or similar experience.
  • EITHER existing membership of the Association of Proposal Management Professionals at practitioner level or commitment to gain this within six months of starting in role.
  • This is a local support role: the successful candidate must be bilingual in both English and Mandarin as minimum.
  • Expertise with Microsoft Word and strong PC skills.
  • Strong technical aptitude and analytical skills; ability to learn about new products/technologies.
  • Excellent organizational, interpersonal, written and verbal communication skills.
  • Proven project management skills; ability to work under pressure to manage multiple priorities with often competing and tight deadlines.
  • Strong editing skills required.
  • Demonstrated drive, initiative, and ability to work independently in a fast-paced changing environment and to adapt creatively and successfully to change.
  • Demonstrated soft skills, including the ability to effectively interact, communicate, and work well as a team member with internal and external partners at all levels of the organization globally.

Preferred:
  • Experience writing and coordinating proposal responses (including RFPs, RFIs, PQQs, ITTs, ITQs and RFxs).
  • Adobe Creative Suite experience
  • Prior experience in information technology, software and/or financial services industry experience is preferable. Experience within an academic grant and proposal environment is highly desirable.
  • Experience working with a nationwide or global sales organization.
  • Experience with proposal presentation software (e.g., Qvidian) and/or database repository.
  • Additional language proficiency in Japanese or Korean is beneficial.




Key Responsibilities:
Proposal Writing 
  • Effectively understand requirements and create accurate, complete and customer-focused responses to formal RFPs, RFQs, RFIs, informal proposals, and other procurement vehicles from academic institutions, corporations as well as federal, state, and local government entities. This includes support of Clarivate global customers. 
  • Take the lead role in coordinating and drafting responses to formal RFPs and informal/proactive purchasing requests for core products. Schedule, facilitate, and actively participate in bid strategy sessions with proposal response team. Assign action items/deliverables, and summarize meetings. Ensure that all proposal deadlines (internal and external) are met.
  • Collaborate heavily with key internal business partners such as Sales, Operations, Legal, Finance, Design & Manage, Build & Operate, and other Subject Matter Experts (SMEs) to drive the proposal strategy and create a compelling proposal.
  • Generate proposal responses, accurately incorporate edits from SMEs, business partners, and reviewers; and ensure compliance with RFP requirements including forms. Coordinate and produce final proposal documents (hard copy and electronic), and ensure successful delivery by proposal deadline.
  • Effectively communicate with contracting officers, purchasing officers, buyers, and other contracting personnel with respect to offeror’s questions, proposal delivery, clarification requests, BAFO/proposal revision, contract award, post-award debriefing, and other procurement-related steps.
  • Promote consistency, and professionalism in all proposal responses.
  • Contribute to the ongoing development of best practices and streamlining of processes and tools to effectively manage the ever-increasing volume of workflow
  • Stay abreast of changes and trends in the industry and new product development and acquisitions



Proposal and sales process enablement
  • Work closely with internal partners (marketing, sales enablement, etc.) to monitor the effectiveness of the local sales community and develop upskilling or enablement projects as required (for example: pitch coaching, process documentation…)
  • Develop and maintain public proposal opportunity pipelines and create internal opportunity calendars
  • Work with the Proposal team manager, sales leads and others to identify and correct areas of inefficiency in the proposal process
  • Repository Management / Content Curation

  • Collaborate with product experts and SMEs to regularly update the electronic repository to ensure that all product descriptions and technical pieces reflect the most current developments and enhancements.
  • Answer inquiries from customers and internal business partners using repository database. Customize existing repository text for proposal responses.
  • Create new repository content for new products and craft new responses to new questions from RFPs and/or security questionnaires. Incorporate and index newly-created text into repository.
