Job Description

  • Maintains the smooth running of GMD Office; includes administrative and clerical duties.
  • Manage and process travel arrangements eg visa, flight, restaurant and accommodation reservations for GMD and family.
  •  Plan daily travel arrangement for GMD and family members. 
  • Manage drivers and bodyguard and update daily schedule accordingly.
  •  Inventory management for stationeries, office supplies and refreshments.
  • Systematic filing of documents. 
  •  Manage repairs and maintenance for office and GMD’s home.
  • Prepare presentation materials and business proposals for GMD.
  • Organise and support events hosted by GMD (internal and external).
  • Manage and support GMD’s family requirements
  • Manage other ad-hoc tasks

Job Requirements

  • Diploma or Bachelor's Degree holder in Secretary / Business Administration or equivalent. 
  • Min 1 year of experience working as secretary role. 
  • Meticulous, detailed and task focused.
  • Able to read, write and converse fluently in English, Mandarin (role requires to deal with mandarin speaking clients) and Bahasa Malaysia. Ability to converse in Hokkien and Cantonese would be an added advantage.
  • Maintain confidentiality 
  • Excellent team player with good communication and interpersonal skills.
  • Flexible and adapt easily to changes.
  • Resourceful, great learning attitude and willing to try new tasks.
  • Able to organise events and activities.
  • Independent, be able to work with minimum supervision.
  • Able to set priorities and meet deadlines; have a sense of urgency for deadlines.
  • Proficient in Microsoft PowerPoint Presentation, Excel and Word.
