Job Description

  • Acting as a first point of contact: dealing with correspondence and phone calls
  • Monitoring a reporting Director’s email and responding if required
  • Organising and planning meetings with clients
  • Taking notes and writing minutes during meetings
  • managing diaries and organising meetings and appointments
  • Organising international travel and itineraries eg booking and arranging flights, transport and accommodation
  • Organising events, office activities and conferences
  • Reminding the Directors of important tasks and deadlines
  • Managing databases and filing systems
  • Implementing and maintaining procedures/administrative systems
  • Supervise an Admin Assistant to oversee general office management 
  • Liaising with staff, suppliers and clients
  • Collating and filing expenses and other documents, preparing expense claim of Director
  • Conducting or preparing any research that the reporting Directors may require
  • Miscellaneous tasks to support the Director, eg completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research
  • Various ad hoc requests 

Job Requirements

  • Proficient in Microsoft Office eg words, power point, excel & outlook
  • Ability to think proactively and to be a team player with a “can-do” attitude 
  • Discretion and trustworthiness: you will often be party of confidential information
  • Flexibility and adaptability
  • Excellent written and verbal communication skills in English
  • Organisational skills and the ability to multitask
  • The ability to be proactive and take the initiative
  • Tact and diplomacy
  • A knowledge of standard software packages and the ability to learn company-specific software if required
  • Strong organizational skills 
  • Personal initiative, professional telephone manner and customer service focused
  • At least 3-4 years of relevant experience as PA, Secretary or Executive Assistant
  • Self-starter who can work with minimal supervision
