We are looking for a bright & enthusiastic Office Administrator who is excited about supporting a fun and dynamic team in a thriving marketing agency!

The Office Administrator will have dual reporting: Direct report to the CEO/CFO and indirect report to the Marketing team.

  • Handles overall office administrative work
  • Provide secretarial support to CEO and agency directors
  • Handles admin duties such as data entry, sorting, photocopying, attend to phone calls, emails and filling of documents, ordering office food
  • Coordination of internal and external meetings, off-sites, and other team events
  • Maintains business development KPI tracker
  • Supports in keeping Customer Relationship Management (CRM) system up-to-date
  • Performs simple data analysis from CRM system
  • Ensuring that the office is well-maintained, organized and secure
  • Assist with special projects such as process improvements, budget development, developing and implementing new policies and processes
  • Supporting employees by facilitating interdepartmental communications and interactions between internal and external parties
  • Any other duties when assigned
  • Provides and maintains high service standard

Job Requirements

  • Diploma or Bachelor’s Degree in any field
  • Minimum 2 years of office or general administration experience; preferably in a MNC environment
  • Ability to multitask and operate in a fast-paced environment
  • Strong command of English
  • Quality-conscious and cost-efficient
  • Keen eye for details, highly organized, and motivated
  • Effective team playing skills
  • Professional experience within secretarial, personal assistant to C-level, office management/administration, or other experience that would be relevant for this role
  • Business-level proficiency (conversational and writing) in English. Proficiency in other languages is not necessary, but is a bonus
  • Excellent persona; professional attitude, presentable, initiative-driven, highly motivated and able to work with high-confidentiality matter
  • Capable to work alongside the directors and top management, yet able to work under minimal supervision
  • Impeccable time management and able to multitask
  • Interested to develop career in secretary, office operation, people operation would be a great platform to start
